Personal Assistant Opportunity
Job type: This mostly remote role is a 1099 position through a US-based business. Green Receipts regime in Portugal
Schedule: Up to 15 hours per week, with a 6–12-month renewable contract
Primary location: Remote work, with weekly work at the home office in Lagos, Portugal
We are looking to add to our successful team and seeking a Personal Assistant who specializes in overseeing operations of the home and business to join our team.
Key responsibilities
- Efficiently manage and coordinate the Founder’s dynamic calendar, scheduling and organizing meetings, appointments, and events, while ensuring optimal use of time and prioritization of people and tasks. Proactively manage Calendly availability to ensure ease of booking. Maintain the family calendar, including making appointments (medical, etc.) and scheduling, communication, and payment of vendors (housekeeping, gardening, etc.)
- Arrange and coordinate all travel logistics, including flights, accommodations, ground transportation, and visa processing, ensuring smooth and hassle-free travel experiences for the Founder
- Handle incoming and outgoing emails on behalf of the Founder, including categorizing emails for the Founder’s review, respond to inquiries when appropriate, and ensure timely follow-up on client communication and other important matters
- Track projects and tasks using Asana in order to meet deadlines
- Run errands, both for personal and professional needs
- Shopping for food, supplies, and other requested items
- Administrative tasks, especially in Portuguese, including sorting, scanning, and filing (insurance, etc.)
- Proactively problem solve around the house, ensuring the peace and order of the home
- As-needed personal assistant tasks, including organizing, sorting, and more
- Work directly with the operations manager to learn and improve best practices
- Administrative support, including: handling expense tracking and reimbursement, invoicing, maintaining organized filing system, organizing documents, maintaining databases, ensuring easy accessibility and accurate retrieval of information
- Assist the Founder with special projects as needed, conducting research, preparing presentations, and providing support in project coordination and execution. Event organization, such as for birthday parties or other special events

You’ll be working with an established entrepreneur, Stacy Ennis (https://stacyennis.com/), who need your integrator genius to help level up her business so she can fully step into her role as CEO and visionary.

Required experience and educational background:
- Portuguese language fluency (required)
- Demonstrated 2+ years experience as Personal Assistant or similar role
- Exceptional written and verbal communication skills, and a proven collaborator
- Excellent organizational and time management skills
- Self-starter with an ability to work independently, manage priorities, and maintain a tenacious attitude to get things done
- Strong attention to detail and accuracy
- Flexibility to embrace change at a moment’s notice
- Proficient in calendar management and scheduling tools, including Google Calendar and Calendly
- Knowledge of travel booking platforms and logistics
- High level of professionalism and confidentiality
- Proficiency in office productivity software, including Asana, Microsoft, Dropbox, and Gmail
- Experience in HubSpot a plus
- Bachelor's degree preferred but experience speaks louder!
- Prior experience in the book writing or publishing industry is a plus

I’m looking to add a fully remote personal assistant for up to 15 hours per week. With at least 30-minutes a day to respond to urgent matters within 24 hours during the work week.
I want someone who is excited about keeping my life organized and making sure my schedule, travel arrangements, personal assistant tasks, and occasional content project are handled seamlessly. You’ll join a small but mighty global team of passionate world changers, with team members based in North America and Europe.
Your role will focus on calendar management, email management, travel booking, and other administrative tasks. You’ll also sometimes assist in creative projects and data organization. This role is perfect for a stay-at-home parent who has corporate or executive experience and excellent communication skills.
Pay range: €17–19 per hour amount with room for salary and role growth plus generous bonuses, education stipend, flexible hours, and a super awesome team
